First time sending samples? We highly recommend you call or email our lab team before you collect.
Sample types and collection methods vary a lot by test and crop, and mistakes here are hard to fix after the fact: once a sample is mishandled, it usually can't be reprocessed. If you've submitted before or already know your sampling plan, skip ahead.
1. Collect Your Sample
Collect samples the same day you plan to ship. Microbiome composition changes over time between collection and lab processing. If you must collect earlier, store samples refrigerated.
- Water samples (source, nutrient, irrigation): about a cup (250 ml) in a clean or sterile plastic container or bottle. Filtered water alone doesn't need ice packs, though we recommend them in hot summer weather.
- Swab samples: swab the target area and place the swab in the collection tube. No ice packs needed.
2. Label Each Sample
Create a Sample ID (max. 30 characters) for each sample and label the bag, or attach the label to the outside of the bag. Use permanent, water-resistant markers or labels.
Running long-term monitoring or surveillance? You'll need a separate metadata sheet: contact lab@ubixbio.com for the form. Your farm information stays confidential; metadata and sequencing data are only used to improve our pathogen database and service to growers.
3. Package the Samples
Place samples in an insulated box (styrofoam, cooler) with several frozen ice packs. Keep a printed copy of your Sample Submission Form with the samples, sealed in a plastic bag to prevent moisture damage.
You can courier your samples or drop them off. Shipping costs are covered by the submitter.
4. Ship or Drop Off
By courier: ship Monday–Wednesday (unless it's a holiday). Thursday shipments must go overnight courier only. Don't ship Friday through the weekend — transit delays risk sample degradation. If you can't ship right away, keep samples refrigerated in the meantime.
By drop-off: email lab@ubixbio.com and wait for confirmation before you arrive. Same-day delivery is recommended.

5. What Happens Next
Turnaround time starts once your sample arrives at our facility and is accepted for processing — not when it's shipped. We'll notify you once your submission is officially accepted.
UBIX BIO may reject samples that pose a health risk or arrive compromised.
